1. BOOKING CONFIRMATION & PAYMENT
- Confirmation: A booking is only confirmed once you receive a written confirmation email from us. If you do not receive this, please contact us immediately.
- Payment: Unless a corporate account is in place, payment must be cleared prior to the journey. Please notify us via email (referencing your surname) once payment has been made.
- Vehicle Details: Driver and vehicle details are typically provided 24-48 hours before the journey.
2. WAITING TIME POLICY
We understand that delays happen. Our policy provides a complimentary waiting window, after which standard waiting rates apply to compensate for the driver’s time and vehicle reservation.
A. Airport & Station Collections
- Flight Tracking: We monitor all flights. The driver will enter the arrival hall once the flight has landed.
- Complimentary Wait Time: 60 minutes free waiting time is included, starting from the time the flight lands.
- Overtime: After 60 minutes, waiting time is charged at the applicable rate below. Any additional car park fees incurred after this hour will be added at cost.
- Missing Details: If a flight or train number is not provided at the time of booking, the driver will wait at the designated pickup time, and waiting time charges will commence immediately after the scheduled time.
B. Non-Airport Collections (Home, Hotel, Offices)
- Complimentary Wait Time: 15 minutes free waiting time is included from the scheduled pickup time.
- Overtime: After 15 minutes, waiting time is charged retrospectively from the original pickup time.
C. Waiting Time Rates
Waiting time is billed in 15-minute increments (pro rata).
- Business Class (E-Class): £30.00 per hour
- First Class / MPV (S-Class, V-Class): £50.00 per hour
3. CANCELLATION POLICY
Our cancellation fees reflect the fact that a specific vehicle and driver have been reserved exclusively for you, preventing us from accepting other work.
Standard Bookings
- More than 4 hours notice: No Charge (Full Refund).
- Less than 4 hours notice: 50% of the journey price is charged.
- Less than 2 hours notice: 100% of the journey price is charged.
Wedding & Special Event Bookings
- More than 1 month notice: Deposit is non-refundable.
- Less than 7 days notice: 100% of the total hire cost is charged.
“No Show”
If a passenger fails to meet the driver and does not make contact within the complimentary waiting period, the job is classified as a “No Show,” and 100% of the journey price is payable.
4. JOURNEY & PASSENGER GUIDELINES
- Route Selection: The driver will choose the most appropriate route based on traffic and conditions. Specific route requests may incur additional mileage charges.
- Extra Stops: Additional pickups or drop-offs not agreed upon at the time of booking may not be accommodated. If accommodated, extra charges will apply.
- Vehicle Care:
- Soiling: If a vehicle requires specialist cleaning due to passenger misuse (e.g., spillage, illness), a cleaning fee (minimum £50, up to £100) will apply.
- Conduct: We reserve the right to refuse service to anyone under the influence of alcohol/drugs or behaving in a threatening manner. No refund will be given in such events.
